What we hold, and why.
A Good Reason collects information in order to answer enquiries and to run the engagements we are hired for. This page describes what we actually collect through this website and the client portal, who processes it on our behalf, and how to reach us about it.

Who we are
A Good Reason (“AGR”, “we”, “us”) is a creative direction and experience studio based in Maryland, United States. We are responsible for the information described here. You can reach us at hello@agoodreason.co.

What we collect
We collect only what the studio needs to respond to you and to deliver work you have engaged us for.
- Enquiry information
- What you enter in Tell Us Your Reason: your name, email address, phone number if you give one, preferred contact method, how you found us, and the details of the occasion: type, possible dates, venue or city, guest count range, the feeling and priorities you select, budget ranges you indicate, links you share, and anything you write in the open questions.
- Account and profile information
- If we open a client portal account for you: your email address, your display name, your role in the engagement, and authentication records held by our platform provider. Accounts are created by invitation; the site has no public sign-up.
- Reason and project information
- The working record of an engagement: the occasion details, dates, plan and milestones, approvals, and the notes and documents we publish to your portal.
- Messages and approvals
- Conversation between you and the studio inside the portal, and a record of what you approved or declined and when.
- Proposals, agreements and signatures
- Proposal versions and your acceptance or decline, and the agreements you sign. Signing is carried out by our e-signature provider, which records signer identity, signing events and timestamps and returns the executed document to us.
- Payment information
- We hold the payment schedule: what is owed, when it is due, what has been paid or refunded, and a receipt reference. Card and bank details are entered directly with our payment processor and are never received or stored by AGR.
- Files and event information
- Documents and imagery you or we upload to a Reason. These are stored privately and are not publicly listable; access is granted through short-lived links to people attached to that Reason.
- Operational and security records
- Records of significant actions in the platform, including who published or changed something, sign-in and invitation events, delivery outcomes for emails we send, and provider event records used to confirm payments and signatures. Our hosting provider also keeps standard technical logs.
- Communication preferences
- Which notifications you have chosen to receive, and the address they should go to.

Why we hold it
To reply to enquiries and to judge whether we are the right studio for an occasion; to prepare proposals and agreements; to run an engagement, including planning, approvals, scheduling and correspondence; to request and record payment; to keep an accurate record of what was agreed, signed and paid; to keep accounts and files secure; and to meet our own tax, accounting and legal obligations.
We do not sell information, and we do not use enquiry or client information for advertising or profiling.

Who processes it for us
These are the providers the platform actually uses. Each processes information only to provide its part of the service.
- Application and hosting platform
- Runs the website and portal and holds the database, authentication records and private file storage.
- Payment processor (Stripe)
- Collects card and bank payments. Payment details are entered with Stripe directly; AGR receives only the outcome, amount and a receipt reference.
- E-signature provider (Dropbox Sign)
- Delivers agreements for signature and returns the executed document and its signing record.
- Transactional email delivery
- Sends the studio's account and lifecycle emails from our own sending domain.
We may also share information with our professional advisers, or where we are required to by law.

How long we keep it
Enquiries that do not become engagements are kept while they may still be of interest to the studio, and are then removed on request. Records of an engagement, including the Reason, proposals, the signed agreement, payment records and correspondence, are kept for as long as the relationship and our accounting and legal obligations require. Files uploaded to a Reason are kept for the life of that record.
Archiving a Reason in our platform locks it against further change; it does not by itself delete it. If you would like something removed, write to us and we will tell you what we can remove and what we are obliged to retain.

Security
The portal is invitation-only. Access to a Reason is limited to the people attached to it and to studio staff who need it, and is enforced by the database itself rather than by the interface alone. Files are held in private storage and reached only through short-lived links. Payment and signature confirmations are accepted only from verified provider notifications, never from a browser. Consequential actions are recorded against the person who took them. No system is perfectly secure, and we do not claim any certification or audited standard.

Cookies and essential technology
We do not use advertising or analytics cookies. Signing in to the portal stores an authentication session in your browser so that you stay signed in; the payment and signature screens are provided by our processors and set their own necessary technology. Clearing this storage signs you out.

Photography, film and publication
We do not publish event photography, film, client names or guest imagery on this site unless publication is permitted by the client agreement for that engagement or by a separate written release. Where a release exists, it governs what may be shown. You can ask us to stop using material about your occasion at any time; see Terms.

Children
This website and the portal are intended for adults. We do not knowingly collect information directly from children. Details about children may appear incidentally in what a client tells us about their occasion; we treat that as part of the engagement record and do not publish images identifying a minor without specific written consent from a parent or guardian.

Your choices
You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or withdraw a consent you have given. Notification preferences can be changed in the portal, and we will still send the messages that are necessary to run an engagement, such as an agreement to sign or a payment that is due. Changes
If this policy changes materially, we will update the date at the top of this page and, where the change affects a live engagement, tell the client directly.
